Job Summary:
We are seeking a reliable, highly organized and detail-oriented Office Coordinator to join our team. In this role, you will be responsible for front office reception and supporting the organization with a variety of administrative duties. The ideal candidate has excellent communication skills and enjoys event planning and being a liaison among the company, employees, and third parties. Administrative responsibilities will evolve as QT9 moves from Aurora to Batavia which is anticipated in fall 2026.

Duties and Responsibilities:
Reception
• Greet, welcome, and direct visitors as appropriate. Ensure safety by controlling access via the reception desk.
• Answer, screen, and forward incoming phone calls.
• Resolve administrative inquiries in-person and via phone and email.
• Ensure office is tidy and presentable.
Events
• Lead the planning and execution of QT9 events by managing administrative tasks, logistics, and communication.
• Prepare agendas, schedules, menus, and travel arrangements as needed.
• Schedule and coordinate building and office maintenance appointments.
Inventory
• Maintain and replenish supply inventory, reordering as needed. Perform off-site errands. Track and report monthly inventory spending.
• Receive, sort, and distribute deliveries.


Projects
• Perform all other duties as assigned including data entry and special projects.
Physical Demands: This position requires handling materials weighing up to 25 lbs.
Required Skills:
• Associate degree or High School Diploma/Equivalent with related experience
• 3-5 years of experience in administrative office roles
• Reliable automobile.
• Proficient in Microsoft Office Suite
• Strong communication skills, both written and verbal
• Strong organizational skills with the ability to multitask
• Familiarity with event planning is advantageous
• Experience with order entry processes is a plus
• Excellent proofreading skills for written correspondence
• Attention to detail and ability to work independently
• Positive attitude with the ability to adapt and learn
• Adaptable, flexible, and eager to learn
